2 - Position Description

As Study Abroad Officer, you are the key contact person for incoming and outgoing exchange students at BSoG. You guide students, coordinate international mobility processes, and contribute to a welcoming and supportive international community.


Your responsibilities include:


Student mobility

  • You coordinate incoming and outgoing exchange programmes.
  • You advise students on applications, admissions and mobility procedures.
  • You support students before, during and after their international experience.
  • You manage student records, academic information and mobility-related administration.
  • You ensure the accurate processing of mobility documents and transcripts
  • You actively contribute to the achievement of the Education team's objectives by providing administrative, organisational, and operational support where needed.

 

Student support & engagement

  • You act as the main point of contact for international students.
  • You support orientation and community-building activities.
  • You assist students with practical matters such as housing, visas and wellbeing.
  • You monitor student issues throughout the semester and coordinating appropriate follow-up when needed.
  • You provide support to students in urgent situations when required, including occasional availability outside regular working hours.

 

Partnerships & programme development

  • You maintain relationships with international partner institutions.
  • You support mobility agreements and reporting activities, including Erasmus+ reporting.
  • You contribute to the continuous improvement of student mobility services and procedures.
  • You support the development of new international partnerships.
  • You collect and follow up on student feedback to further improve the student experience.
  • You help promote BSoG's international programmes and activities.

 

Your main workplace is the VUB campus in Elsene (Ixelles), where you are present at least four days per week.


You are flexible to occasionally work during evenings or weekends in the context of student activities, orientation programmes, recruitment events, Open Days, or urgent support needs of international students.

3 - Profile

What do we expect from you?

  • You hold a Bachelor’s degree in Office Management, International Management, Business Administration, Applied Linguistics, Social Sciences, or a related field, or have equivalent relevant experience.
  • Experience in higher education, international education or student services is considered a strong asset.
  • Experience with international exchange or student mobility programmes is highly desirable.
  • You have a problem-solving and client-oriented attitude and can think out of the box while doing so.
  • Experience working with e-learning tools (Canvas, Moodle, Blackboard, Connect or others) is an asset.
  • You have excellent organisational and administrative skills, with strong attention to detail.
  • You can both work independently and as part of a team.
  • You act on the basis of the values of integrity, carefulness, objectivity, equal treatment, correctness and transparency.
  • Excellent command of English and good working knowledge of French; knowledge of Dutch is an asset.

4 - Offer
