Financial Administration expert

2 - Position Description
As an Administrative Finance Specialist, you will be the key person in supporting the financial processes within the International Relations Office. You ensure that everything runs smoothly, from contracts to payments and budgeting. You will have a varied set of tasks and work closely with colleagues and students, both nationally and internationally.
What will you do?
- Blocked accounts procedure: You manage the financial aspect, from incoming funds to payments to students and PhD candidates. This includes drafting contracts, monthly payments, settlements, and reporting.
- Pre-paid cards: Responsible for processing and administration of pre-paid cards in the Belfius bank application.
- Scholarship programs: You handle payments for customized programs such as Erasmus+ for students, staff, and other generic scholarships.
- Financial administration: You handle various transactions via the VUB financial tool (Racsweb) for the International Relations Office. Additionally, you provide financial advice to colleagues.
- VUB scholarships: Administration, payments, and follow-up of VUB master's scholarships and staff mobility programs.
- Account monitoring: Managing incoming and outgoing financial flows.
- Budget preparation: You assist in preparing the annual budget of the International Relations Office.
- Liaison with the finance department: You maintain close contact with the VUB finance department to ensure smooth processes.
Where do you work?Your base is the Brussels Humanities, Sciences & Engineering Campus in Ixelles, but you can also work from home regularly.
3 - Profile
What do we expect from you?
- Education: You have a Higher Education diploma (e.g., Office Management, Accounting, Payroll...).
- Experience: You have several years of work experience where accounting/financial tasks were central. Working with numbers energizes and satisfies you.
- Language skills: You have excellent command of English, both written and spoken. Knowledge of Dutch is an asset.
- IT skills: You are proficient in MS Office and can efficiently use digital tools.
- Communication skills: You can clearly express your ideas and approach, both in writing and verbally. You build your arguments with strong reasoning and enjoy engaging in dialogue.
- Customer-oriented and discrete: You are customer-oriented in your approach and always handle confidential information discreetly.
- Proactive and organized: You take initiative, think ahead, and have strong organizational skills.
- Team player and independent: You can work well both in a team and independently, depending on what the situation requires.
- Integrity and transparency: You always act in accordance with the highest standards of integrity, care, objectivity, and equality. You follow basic rules and social and ethical norms closely.

You’ll be offered a 1 year full-time contract at a salary linked to grade 5 (with the possibility of renewal) , depending on your competences and previous relevant work experience. You can find our salaryscales on our website under "working for the VUB".
