EUTOPIA Finance and Operations Coordinator
1 - Working at the VUB
EUTOPIA is an alliance bringing together 10 European universities from 10 different European countries, aiming to become an open, multicultural, confederated operation of connected campuses. The EUTOPIA Central Office is looking for an Finance and Operations Coordinator who will report to the Secretary-General of EUTOPIA. 2 - Position Description
The Finance and Operations Coordinator will drive financial and operational processes for the Central Office and support the collection of data and information for digital tools for the alliance. In this role, the successful candidate will also help coordinate the activities of the Business Intelligence Unit and lead the collection of data related to EUTOPIA’s activities in Education, Research, and Innovation.
Specific responsibilities will include:
Financial and operational management
- Lead and optimise financial and operational processes for the Central Office, including expense monitoring, budget management, and financial reporting,
- Support the Secretary-General in managing relationships with external service providers, e.g. software providers, accounting,
- Collaborate with and support the EUTOPIA Central Office team in operational and strategic tasks, as required.
Business intelligence and data collection
- Coordinate data collection processes for key performance indicators and for qualitative and/or quantitative studies to support the development of EUTOPIA,
- Create dashboards for monitoring and evaluation of EUTOPIA’s activities in Eduation, Research, and Innovation,
Digital tools and systems support
- Support the development and/or maintenance of digital tools, catalogues, and platforms for the alliance, e.g. catalogue of research infrastructure,
- Collaborate with internal and external stakeholders to ensure digital tools meet the evolving needs of the alliance.
For this position, the EUTOPIA Central Office at Usquare (Etterbeek) will be your home base.
3 - Profile
What do we expect from you?
- You have attained a master’s degree and have at least 5 years of relevant working experience for this role.
- Preferably you have knowledge of the higher education sector, with relevant professional experience at a higher education institution in Europe.
- You are proficient in Microsoft Office suite and in business intelligence tools, such as Microsoft PowerBI.
- You are experienced in working in multicultural teams and able to establish good working relationships with internal and external contacts.
- You can demonstrate an excellent approach to process improvement and can make sense of complexity and communicate with clarity.
- You are familiar with Monitoring, Evaluation, and Learning (MEL) approaches and have been involved in the setup and/or implementation of MEL frameworks.
- You can work independently but are also able to work well with others.
- You are organised and meticulous, with a keen eye for details and a proactive approach to problem solving.
- You are fluent in English. Knowledge of any other official languages of EUTOPIA universities is an advantage, in particular French or Dutch to liaise with service providers in Belgium.
