2 - Position Description

As a Facility Assistant at the Brussels School of Governance (BSoG), part of the Vrije Universiteit Brussel (VUB), you'll play a key role in supporting our academic activities, making sure everything behind the scenes runs flawlessly. In this dynamic position, you’ll be an integral part of the Events Team and the go-to person for staff and students when it comes to technical and facility-related questions.

 

In this function, you’ll work closely with the Events Coordinator, reporting to the Head of Secretariat, while also collaborating with the Education team for technical support related to academic programmes. 

 

A quick look at your work package:

  • Assist in the practical preparation of events, including badges, signage, participant lists, and more.
  • Ensure the repair and maintenance of office equipment and AV systems by reporting defects promptly.
  • Perform light administrative tasks, such as keeping inventories and managing data.
  • Take care of the maintenance of coffee machines, printers, and dishwashers.
  • Help organise social activities that foster community within the School.

 

You will have the opportunity to work alongside job students for additional support when necessary.

 

For this function, our Brussels Humanities, Sciences & Engineering Campus (Elsene) will serve as your home base. 

3 - Profile

What do we expect from you?

 

Essential skills/knowledge:

  • A high school diploma or equivalent.
  • Good command of English.
  • Basic ICT knowledge.
  • Basic knowledge of AV and sound systems.
  • Ability to work independently with guidance from colleagues and based on a set schedule.
  • Strong organisational skills, punctuality, and the ability to manage your time effectively.
  • Willingness to work outside regular office hours, but always within a 38-hour workweek, depending on the event schedule.
  • Ability to manage multiple tasks with minimal supervision.
  • A strong sense of responsibility, work ethic, and a proactive mindset.
  • A team player who can also work independently when needed.
  • A professional and customer-focused attitude.
  • Problem-solving abilities and a can-do mentality.
  • You must have a valid work permit allowing you to work in Belgium.

 

Preferred skills/knowledge:

  • Knowledge of French and/or Dutch is a plus, mostly for communication with suppliers (French) and other VUB departments (Dutch).
  • Basic knowledge of HTML.
