EUTOPIA Finance and Operations Officer (6-month maternity cover)
1 - Working at the VUB
EUTOPIA is an alliance bringing together 10 European universities from 10 different European countries and 6 global partners, committed to developing a new model for integrated higher education through transnational cooperation. The EUTOPIA Central Office is seeking a temporary Finance and Operations Coordinator to cover the maternity leave of the current postholder from January to June 2026. This temporary role offers a chance to join our team and expand your skills in a dynamic and supportive environment within EUTOPIA.
2 - Position Description
The EUTOPIA Finance and Operations Officer will ensure the smooth financial and operational functioning of the EUTOPIA Central Office during the regular coordinator’s maternity leave. This temporary role focuses on maintaining existing processes and supporting the ongoing administrative, financial, and reporting activities of the alliance.
The position is based at the EUTOPIA Central Office, located at Usquare in Brussels (Ixelles).
Main responsibilities
Financial and operational management
- Monitor and process expenses, budgets, and financial documentation.
- Liaise with the accounting service, suppliers, and the Secretary-General on payment and procurement matters.
- Support the Central Office team with administrative coordination.
- Ensure accurate record-keeping and timely financial reporting using existing tools and templates.
Business intelligence and data support
- Maintain existing dashboards and data files for monitoring and evaluation purposes and explore the development of new dashboards building on existing ones.
- Collect and consolidate data on EUTOPIA’s activities in Education, Research, and Innovation.
- Support regular reporting cycles and contribute to data quality assurance.
Digital tools and systems
- Advise on existing digital tools and platforms used by the alliance.
- Coordinate with internal and external contacts on basic updates or maintenance needs.
3 - Profile
- Master’s degree (or equivalent experience) with at least 3 years of relevant professional experience.
- Experience in financial or operational coordination, preferably within higher education or EU-funded projects.
- Proficiency in Microsoft Office, particularly Excel; familiarity with Power BI or other reporting tools is an asset.
- Strong organisational and problem-solving skills, with attention to detail and ability to meet deadlines.
- Excellent command of English; knowledge of French or Dutch is an advantage for liaising with local providers.
- Comfortable working in an international, multicultural environment and maintaining good working relationships.
This is a temporary 6-month position focused on ensuring continuity of operations and reporting.
The selected candidate will join a small, dynamic team and contribute to the smooth running of the Central Office during the colleague’s maternity leave.
4 - Offer
